Service 04 · Systems Integration & Business Automation

The systems you already run, connected on purpose.

Most businesses do not need another application. They need the CRM, the Microsoft 365 or Google Workspace tenant, the finance system, the website and the practice tools to pass work between them without a person re-keying it. We design and build those connections, with approvals, audit and failure handling built in.

Where the website fits

A public website is one more system to integrate. When it is engineered to capture structured intent and hand it into the CRM and Microsoft 365 with tasks and follow-up, it becomes the front end of the business rather than a brochure. That capability is Intelligent Web Platforms.

INT-01

API orchestration

REST, GraphQL, webhooks and vendor SDKs coordinated into one flow, with retries, idempotent writes and reconciliation when a downstream system is unavailable.

  • REST · GraphQL
  • webhooks
  • idempotent
INT-02

Microsoft Graph, Google and vendor integrations

Mail, calendar, files, lists, tasks and Teams or Slack through scoped application identities with the least permission the job needs.

  • scoped identities
INT-03

CRM and line-of-business systems

HubSpot, Salesforce, Dynamics 365, BrokerEngine and practice, finance and support systems, kept in step with the platform rather than updated by hand.

  • finance
  • practice systems
INT-04

Approval workflows

Named approvers, enforced in the workflow code and visible on a console, for any step that sends, files, commits or spends.

Event-driven automation

Arrivals, changes and deadlines trigger the right work: notifications, task creation, document collection, escalation and CRM updates.

INT-06

Tool choice, on purpose

Power Automate, n8n, Apps Script or Zapier where they are maintainable; code where the logic needs to be tested and versioned; MCP servers so agents use tools with defined scopes.

Data flows and reconciliation

Every flow documented and agreed before it is built, with exception handling and reconciliation so a missed record is found by the system, not by a customer.

INT-08

Observability

Workflow status, API failures, automation failures and business outcomes surfaced live, so integrations are operated rather than assumed.

AI-enabled client acquisition

From a visitor's question to a task in your team's queue, without a manual handoff.

The most valuable integration many businesses have never built is the one between their website and their operations. A public AI assistant or a structured form captures intent, the platform validates it and records consent, and the outcome lands in the CRM and Microsoft 365 with the follow-up already assigned.

  10. Human follow-up

The public model never gets unrestricted access. Tools are allow-listed and schema-validated, credentials stay server-side, writes are deduplicated and idempotent, and every action is audited. The full control model is on the Intelligent Web Platforms page.

In production

For The Mortgage Panel, a visitor can ask the public assistant a general question, use a calculator and, when ready, provide details that are pushed into BrokerEngine and the Microsoft 365 operational workflow with a follow-up task. A licensed broker takes over from there. The same practice runs a private AI operations assistant behind the scenes. Read the case study.

The pattern is not sector-specific

  • Advisers, planners and lenders: intake to CRM and compliance records
  • Accounting and legal: enquiry to engagement file and matter set-up
  • Healthcare: referral intake with a data boundary the tenant proves
  • Trades and services: quote request to job, schedule and customer record
